An overview of the new payroll system

A payroll solution as comprehensive as Exxas includes thousands of features for processing payroll in all its variations and in compliance with legal requirements. This article explains the key features.

Manage employees

From application and onboarding to professional development and offboarding: manage all employee and payroll data centrally in Exxas. The employee account serves as a digital personnel file. It includes personal and additional data, employment information, payroll data, personal information, documents, performance reviews, agreements, and contracts.

Employee data is not only used for payroll, but across all functional areas, including time tracking, projects, and sales. Managers can easily access the employee data of their teams, while the HR team can also manage employment contracts, reference letters, and other documents in the personnel file. Managing the company becomes significantly easier when executives, managers, HR, and employees can find everything on a single platform.

Pay types, insurance, and withholding tax

Flexible for different compensation models

Whether it’s a monthly salary, hourly wage, bonus, commission, allowance, or individual compensation: the flexible pay type catalog makes it easy to support different compensation models. Existing pay types can be adapted to a company’s requirements, and custom pay types can be created. The underlying calculations can also be configured individually. This makes the payroll system suitable for both simple and more complex compensation structures.

Swiss social insurance integrated

All insurance types relevant to Switzerland can be managed and processed in Exxas. These include accident insurance (UVG/UVGZ), daily sickness allowance insurance (KTG), and various occupational pension (BVG) solutions.

The configured insurance plans and terms are taken into account when payroll is calculated and are assigned to the relevant employees.

Withholding tax for all cantons

Employees subject to withholding tax can also be processed directly through Exxas. The payroll system supports withholding tax processing for all Swiss cantons and takes into account the information required for payroll calculations.

This also allows companies with employees in different cantons to process their payroll centrally through a single payroll system.

Payroll statements and salary certificates

Monthly payroll processing shouldn’t be rocket science. With Exxas, payroll runs are just as easy to create for a few employees as they are for companies with hundreds of employees.

Based on the stored employee, payroll, insurance, and tax data, salaries are calculated automatically. This significantly reduces the amount of manual work required for each payroll run. Once the payroll run is completed, individual payroll statements are generated automatically. They can be prepared in multiple languages and sent directly to employees by email.

After payroll is processed, it’s time for payment. The required payments can be prepared for online banking. This makes payroll payments part of a seamless end-to-end process.

At the end of the year, salary certificates can be generated for employees.

ELM and Swissdec certification

Swissdec is a joint initiative involving various independent partners. It standardizes the electronic exchange of payroll data between companies and government authorities or insurance providers.

The Swissdec standard ensures that payroll data can be transmitted to the appropriate recipients in a standardized format (ELM) directly from a payroll system. ELM stands for “Uniform Salary Reporting Procedure.” Instead of preparing payroll data separately for different government authorities and insurance providers and submitting it through different channels, ELM enables standardized electronic transmission directly from a compatible payroll system.

Through the Uniform Salary Reporting Procedure, payroll data can, for example, be transmitted electronically to social insurance providers, for withholding tax reporting, and for statistical surveys conducted by the Swiss Federal Statistical Office (FSO). This reduces administrative work and avoids entering the same payroll data multiple times.

Swissdec certification confirms that payroll software meets the technical and professional requirements defined by Swissdec. For companies, this means greater security when transmitting payroll data electronically and standardized processes when exchanging information with government authorities and insurance providers.

Exxas Swissdec certification

Exxas payroll is designed to meet the requirements of the Swiss market. The Swissdec certification process for Exxas payroll will begin in November 2026.

The planned certification will make electronic payroll data transmission even easier in the future—directly from Exxas and without manual transfers between systems.
