Integrated document management

A holistic business platform also includes the integration of files and documents. With Exxas 4.1, we provide a document management system (DMS) integrated into all areas of Exxas.

Many companies are looking for a DMS solution or have already dealt with the market. Decision-makers often find that the applications offer a powerful range of functions and can connect all possible peripheral systems such as file storage, business software or databases. However, they also find that a DMS comes at a high price and requires significant set-up and maintenance costs. In addition, the DMS would then be another application that employees are familiar with and which they must use. In fact, these companies were just looking for a solution for better document collaboration. For this reason, DMS projects in smaller companies end up relatively frequently.

Interested parties as well as many existing customers came to us with the request for a DMS solution integrated into Exxas. We are now meeting this request with Exxas 4.1 and the following features:

• Document storage integrated into activities, customers and knowledge contributions
• Full text search across all storage locations including indexing of document content (Word, Excel, PDF, etc.)
• Folder package templates for the uniform organization of documents, for example for customers or projects
• Versioning documents
• Recycle bin with retention policy
• Use files and documents via the Exxas app
• Copy folders and files to other activities, customers, or knowledge articles
• Drag and drop files to Exxas
• Multi-select, upload, and download
• Create Word, Excel, and PowerPoint documents directly in Exxas
• Create and edit Word documents directly from Exxas templates
• Create links to other document storage locations and peripheral systems

Document management is available in all Exxas packages with version 4.1.
